Book Your Virtual Outreach
All the important information about booking a Virtual Outreach session for your class, including prices and how to book.
Essential Information
We recommend our virtual outreach sessions for class sizes of up to 40 children, to give them the best experience. This gives them the chance to interact with your virtual guests but you can discuss your requirements in advance.
Currently we support the use of Skype, Zoom and Google Meet, but we are happy to discuss other platform requirements. We can also include children studying from home, meaning everyone in your group can stay connected as we explore the past together.
Everything you need to know about your Virtual Outreach booking, including procedures and risk assessments, can be found on our handy Virtual Outreach teachers’ guide (PDF, 1 MB) If you are interested in a Loan Boxes Live session, you can also learn more about how hiring a box works from the loan boxes teachers’ guide (PDF, 8 MB)

How to Book
1. Choose your sessions and video conferencing platform.
Read through the descriptions of the Viking, Medieval or Archaeology session themes on offer to make your selection. Create an account and download the video conferencing software you wish to use.
2. Contact our Reservations team to make your enquiry.
Get in touch with our Reservations team by completing our Virtual Outreach form.
Make sure you give us your preferred dates and times of your visit ready to check for availability, your preferred video conferencing platform and let us know how many children you are booking for. Please let us know the age of your pupils and any special education needs they might have so we can meet your requirements.
Please note: We recommend that all teachers/administrators making a booking enquiry provide at least six weeks’ notice in advance of your preferred date. Although we always do our best to accommodate your group’s requirements, you may find booking enquiries that fall under this six-week threshold do not have appropriate virtual outreach time slots available for your required dates.
3. Our Reservations Team will be in contact with a schedule for your session(s).
Our Reservations team will offer you a schedule with the date(s) and time(s) we can deliver your virtual outreach. This is not yet a booking so if you wish to accept, we request that you confirm your acceptance in writing within three working days to guarantee that the offered schedule is available. Please have full contact details for your school/organisation available at this point.
4. Check the confirmation form provided, which shows the sessions you have booked.
No payment needs to be taken at this time unless you wish to pay in advance (please note, payment in advance is required by international schools as we are unable to process invoices to schools outside of the UK).
5. Take part in a test call with the Learning Team.
The Learning Team will provide a meeting link for your test video call for an agreed date and time. During the video call, we will test the quality of the connection, talk through your session details and answer any outstanding questions you may have. Please have all speakers, projectors, whiteboards and microphones set up as you intend to use them on the day.
6. Enjoy your virtual outreach sessions!
We hope that you and your students find the experience engaging and worthwhile.
7. Tell us what you thought of your visit.
Don’t forget to complete our feedback questionnaire to be entered into a prize draw to win a free virtual outreach for your school!
If you need to speak to our Reservations team before you submit an enquiry via our online form or to amend any part of your booking, you can email them at [email protected] or call 01904 615505.
